Award Winner Itinerary

Sunday, September 10

 Check In 

Reservations are being made in the name of each award winner at the Ocean City Clarion Hotel.  The hotel is located at 10100 Coastal Highway. The phone number for the hotel is 410-524-3535.  Check in is at 4pm for the hotel and check out is 11am.  You may be able to arrive and check in earlier if the room is available.

Each of you was offered two nights stay for you and a guest.  Refer to prior conversation/correspondence for any special circumstances.  All events (meals and award ceremony) will be at the hotel.  We have the entire hotel reserved for our conference.

We will have a registration desk on site Sunday (starting at noon) and Monday morning.  Please check in at the desk as you and your guest will receive a name tag that allows you access to the free meals.  (See below for additional guest information as well as the registration desk contact person.)

Check Out – Tuesday, September 12, 2017 (or Monday, September 11, 2017 if leaving early)

 Dinner Sunday night 

A complimentary dinner for you and your guest is available Sunday night at the hotel during the President’s Reception.  Attire for the dinner is business casual (slacks and polo).  If you plan on bringing anyone above and beyond the complimentary number (more than your one guest) we must be notified. (See below for more specific information on additional guests.)  You will be responsible for costs associated to those extra guests.  The reception is from 6pm to 9pm.

 Monday, September 11

Breakfast Monday morning

A complimentary breakfast is offered for you and your guest at the hotel in the vendor area starting at 7am to 0815.  Attire is business casual if you plan on going to your room to change before the ceremony, otherwise wear what you are required to wear for the award ceremony (noted in the next paragraph). 

 Award Ceremony – 0800 hours

The award ceremony is from 0830-1000 hours.  Please arrive by 0800 so that we can go over the procedures beforehand.  You will be asked to sit as a group (the award winners) up near the front to allow for a quick and easy flow during the ceremony.  Dress is your Class A police Uniform for sworn officers and business attire for civilians.  Seating behind the award winners will be available for family and friends on a first come basis.

The ceremony will be conducted as follows:  During the award presentation, your name will be called for the specific award.  You should leave your seat and proceed to the area designated where you will receive the award.  During the award presentation, a video will be played with an announcer reciting the award and why you were selected.  A montage of photographs (provided by you or your agency) will play on the video screen.  As you receive your award, photographs will be taken of you receiving the award from the Maryland Chiefs/Sheriff Representative and your agency representative if present.  These photographs will be taken by our photographer.  You will not be asked to speak.  After the photographs and award presentation and at the end of your portion of the video you are to return to your seat. 

Immediately following the ceremony, we will offer additional photo opportunities for you and your family.  We ask that family and friends refrain from coming up to take photographs during the actual ceremony. 

At the conclusion of the ceremony, you will be on your own.  We do however offer additional meals for you and your guest.

A CD of the video presentation will be available for you at the conclusion of the ceremony or can be mailed to you.

 Monday Lunch

Lunch is available for you and your guest in the vendor area from 12:00 – 1300.  Attire is business casual.

 Monday Dinner

Dinner is available for you and your guest from 18:30pm to 2100 in the Crystal Ball room.  This will be a seafood feast and dress is casual (not business casual).   Award winners are to arrive at 1800 for early reserved seating. This allows you and your guest early entry to the dinner which means first in line for the seafood!   Your agency representative can also enter at 1800. 

 Tuesday, September 12

 Tuesday Breakfast

A complimentary breakfast is offered for you and your guest at the hotel in the Horizon restaurant 0700-0815 hours.  Attire is casual.

Additional Guests

Additional guests (such as a child or family member).  We ask that once you arrive at the conference; please go to the reservation desk.  You will meet with Susan Hansen who is working registration.  She will ask you for the names of your additional guest and provide them with a name tag.  She will need to know how many of the above meals your guests plan to take advantage of and will request payment at that time for the meals they choose.  They will then receive a voucher to allow them access to the meals.  Payment must be in the form of a check or cash.  The check will be made out to the MCPA. 

Meal costs for additional guests (per person):

               Breakfast - $15

               Lunch - $15

               President’s Reception (Sunday Night) - $35

               Seafood Feast (Monday Night) - $50

Hospitality Room

The conference will have a hospitality room set up in the pool area at the hotel.  You and your guest are invited to come and enjoy free drinks starting at 9pm on both Sunday and Monday night.  The room is adjacent to the pool but we will have the entire pool area for our use.
